Donor Privacy Policy
How we protect and honor the trust of our supporters.
Last Updated: December 2026
Holy Circle deeply values the trust and generosity of our donors. This Donor Privacy Policy explains how we collect, use, and protect information related specifically to your financial gifts and support. This policy supplements our main Privacy Policy and is intended to provide additional assurance for those who partner with us financially.
1. We Respect Your Privacy
Holy Circle does not sell, rent, trade, or share donor information with any other organization, ministry, business, or individual. We also do not send donor mailings on behalf of other organizations.
2. Information We Collect from Donors
When you give to Holy Circle, we may collect:
- Name and contact information (such as email address and phone number).
- Donation amount, date, and method of payment.
- Whether the gift is one-time or recurring.
- Any specific designation or note you include with your gift (e.g., campaigns or projects).
Payment information such as full credit card numbers is processed securely by our payment processors and is not stored by Holy Circle’s servers.
3. How We Use Donor Information
We use donor information to:
- Process donations and issue receipts or giving statements.
- Confirm transaction details or resolve processing issues.
- Communicate ministry updates, impact reports, and future opportunities to support Holy Circle.
- Maintain accurate financial and contribution records as required by law.
4. Public Recognition of Donors
We may occasionally acknowledge donors in reports or ministry communications. If we do so, we will either:
- List donors in aggregate (without amounts), or
- List donors by name only with their consent.
If you prefer to give anonymously or not be acknowledged publicly, we will honor your request.
5. Anonymous and Restricted Gifts
- Anonymous Gifts: You may request that your donation be recorded and used, but not publicly attributed to you.
- Designated Gifts: If funds are designated for a particular program or project, Holy Circle will make reasonable efforts to honor the designation. If a program or project is fully funded, closed, or no longer feasible, Holy Circle reserves the right to use remaining funds for related ministry purposes consistent with our mission.
6. Security and Confidentiality
We take steps to protect the confidentiality and security of donor information, including restricting access to authorized personnel and using secure systems for contribution tracking. Online donations are processed using industry-standard encryption through reputable third-party payment processors.
7. Donor Communication Preferences
As a donor, you may at any time:
- Request to be removed from mailing or email lists (except for legally required communications).
- Update or correct your contact information.
- Request no further solicitation, while still receiving year-end giving statements if required.
8. Record Retention
We retain donation records as necessary for financial accountability and compliance with applicable laws and regulations governing nonprofit organizations, including IRS requirements.
9. Changes to This Donor Privacy Policy
From time to time, we may update this Donor Privacy Policy to reflect changes in our practices or legal requirements. We encourage you to review this page periodically. Your continued support and use of our Services after such changes constitute your acknowledgement and acceptance of the updated policy.
